The Administrative Coordinator welcomes students, assists with scheduling and provides excellent customer service to the clinic’s patients. The Administrative Coordinator performs intermediate-level, detailed and technical clerical duties requiring broad knowledge of the Health & Counseling Center’s functions, policies and procedures. This position reports to the Medical Services Manager and provides administrative support to both the Medical Services Manager and the Clinic Director. Reed is committed to excellence and actively seeks diversity in its educational programs and employment practices. This is an 11-month, non-exempt position with an hourly pay of $19.03. ESSENTIAL DUTIES

  • Welcomes individuals to the Health and Counseling Center (HCC) over the phone, by electronic correspondence and in person. Assists in requests for assistance and information often being the first contact for the HCC.
  • Directs, fields, and screens correspondence (in-person, via phone, via fax, via email) for the health and counseling center from: parents/family; faculty; staff; students; and constituencies outside of the campus community, occasionally in urgent or emergent situations.
  • Guides students through processes and maintains appropriate records relevant to accessing and navigating health center and other campus resources.
  • Is the primary point of assistance regarding scheduling student appointments; Aids in the scheduling of other staff meetings, events and appointments.
  • Maintains office supplies and general office upkeep. 

PERFORMANCE EXPECTATIONS

  • Maintain confidentiality of sensitive and confidential materials.
  • Receive urgent calls of concern or emergency student situations with confidence in a calm and reassuring manor.
  • Demonstrate a professional commitment to issues relating to diversity through knowledge of H&CC’s mission statement, policies and procedures.
  • Create a welcoming space for a wide variety of opinions, values, and communication styles that accompany the diverse constituency groups of people within the HCC and people contacting the HCC.
  • Knowledge of H&CC’s office policies and procedures and ability to apply and explain them in detail.
  • Plan, organize, problem-solve and make decisions to manage administrative office functions in a timely manner while maintaining accuracy, details and confidentiality.
  • Work collaboratively, both independently and as a team member to carry out position responsibilities and maintain effective working relationships with students, families, staff and the public.

QUALIFICATIONS

Two years of vocational training in office management, secretarial or related field and two years of administrative experience; or any equivalent combination of experience and education.
