Reed College seeks a warm and capable person to be our next Administrative Coordinator in the Dean of Students office. The Administrative Coordinator to Student Services serves as the front office main point of contact, actively working to ensure a welcoming environment and seamless experience for students by providing support by telephone, email and in person. The Administrative Coordinator also provides administrative support to the Vice President for Student Services and the Dean of Students. This role reports to the Associate to the Vice President and Dean of Students.

This is full-time, hourly position with a salary of $19.31/hour. The work schedule is Monday through Friday, 8:30 am to 5:00 pm, with a one-hour unpaid lunch. WHAT YOU'LL DO

  • Serves as the first point of entry to the College, welcoming individuals to the Student Services division in person in the Vice President and Dean of Students’ Office, over the phone, and via electronic correspondence.
  • Directs, fields, and screens correspondences and inquiries for the Student Services division from students, families, staff, faculty and constituencies outside of the campus community, about procedures related to student enrollment status changes as well as inquiries related to deans’ calendars and urgent or student emergency situations.
  • Guides students through processes, tracks data, and maintains records for student leaves of absence, emergency absences, medical leaves of absence and student enrollment withdrawals.
  • Manages the calendars of the Vice President for Student Services and the Dean of Students
  • Schedules student meetings with Associate and Assistant Deans.
  • Serves as primary office representative and liaison for Health and Counseling Center staff, students, and faculty when authorizations to release student medical records or visit information are in place.
  • Maintains and distributes the division’s on-call staff schedule.
  • Aids in the scheduling of Dean meetings and tracking for other offices’ official forms for which the Vice President and Dean of Students’ Office and Student Services Deans have a role.
  • Handles event planning (e.g. catering, room reservations, audio-visual requests) for Vice President and Dean of Students’ Office-sponsored meetings. Coordinates various division- and campus-wide events.
  • Processes transfers and disbursements for the various funds and budgetsVice President’s main budget, Student Services Commons budget, and entertainment funds.
  • Arranges furniture and equipment acquisition and handles vendor account maintenance for the office.

QUALIFICATIONS

Three to five years of progressively responsible administrative assistant experience, or any combination of experience and education which provides you with the desired tangibles and intangibles needed to excel in this role. Two years of vocational training in office management, secretarial, or a related field is a plus.
