The College Relations Database Coordinator has primary responsibility for maintaining the college’s alumni and donor information through research and data entry.

As a member of the six-person College Relations Information Systems (CRIS) team, the Database Coordinator works to ensure complete and accurate data and gift entry, including performing data audits; making recommendations about data acquisition strategies; writing documentation for data and gift entry standards; and training others in proper data entry standards. This role reports to the Associate Director of College Relations Information Systems.

This is a full-time, exempt position. The salary for this position is $42,000. The workweek is Monday through Friday, 8:30am – 5:00pm. WHAT YOU’LL DO (Essential Functions)

  • College Relations Data Management: Researches and enters timely, accurate, and confidential biographic and prospect data into the institutional database and retrieves routine reports and records. Performs and requests regular data audits of all College Relations data, including monitoring key data points identified by departmental priorities. Analyzes gaps or deficiencies in College Relations data. Makes recommendations about data acquisition strategies.
  • Gift Processing: In collaboration with the Gift Accounting Coordinator, processes checks, credit cards, and cash gifts on a daily basis. Generates donor receipts and letters as a backup to the Gift Accounting Coordinator.
  • Documentation: Creates and maintains procedures related to data entry. In collaboration with the Gift Accounting Coordinator, creates and maintains procedures related to gift processing.
  • Training: Trains team members and other administrative staff in efficient data entry procedures and accurate data entry standards.
  • Supervises student worker(s): Hires, provides direction and guidance, and monitors the work of student employees. Creates projects based on the needs of the CRIS team; Establishes work schedules for academic terms, breaks, and summer; approves timesheets.

QUALIFICATIONS

A minimum of five years’ experience with personal computer systems, institution-wide relational databases, and office productivity tools (e.g., word processing, spreadsheets, databases, presentation applications). Two years of data management experience, including managing data in multiple, complex systems. Some work experience in a fundraising office preferred (higher education experience a plus).
