Assistant to the College Librarian

The Assistant to the College Librarian coordinates office functions for all library units and locations.  They provide organizational and technical support for library budgets, purchasing and spending, make arrangements for professional travel and meetings, and provide events and facilities management for the college librarian and library staff. The person in this role possesses excellent organizational and administrative skills, knowledge of accounting and business practices, and the ability to communicate effectively with students, faculty, staff, and external vendors.

*This position reports to the College Librarian under the division of the Dean of the Faculty, and primarily works on campus interfacing with faculty, staff, and students.*

This is a full-time, non-exempt role with work hours of 8:30 a.m. to 5:00 p.m. with a one hour unpaid lunch. The hiring wage for this position is $24.00 - $26.00. This is not a remote position.

What You’ll Do

  • Support the college librarian and other library staff in a broad range of administrative duties.
  • Ensure effective operation and maintenance of library offices, equipment, furnishings, and facilities.
  • Assist in the preparation of and monitor departmental budgets managed by the college librarian.  Ensure that payments are made in a timely and accurate fashion.  Monitor and manage purchasing and payments, including credit card transactions, expense reimbursement statements, travel requests, and other related requisitions assuring proper approvals, coding, and record-keeping.  
  • Support planning and preparation for facilities requests and projects.  Serve as liaison to Reed staff and external vendors for the management of building and facilities projects. Ensure ongoing cleaning, repair and maintenance of library offices and common areas.  
  • Coordinate creation of signage, directories, and other communications regarding use of library services and facilities.
  • Manage travel, catering, and other events arrangements for library functions.
  • Participate in library staff meetings and working groups.  

Desired Qualifications

  •  Thorough knowledge of a full range of administrative support practices, office systems and procedures.
  • Ability to set priorities and meet deadlines while maintaining accuracy.
  • Ability to develop systems and procedures to increase efficiency in day-to-day operations of library offices.
  • Knowledge of business and accounting practices
  • Background or experience in working with diverse populations of individuals
  • Knowledge of or interest in working in an academic environment.

 Minimum Qualifications

  • 2 years of college, an associate degree, or relevant work experience.
  • 2 years of office and administrative support experience.
