The Administrative Coordinator is the first point of contact for a wide variety of alumni, students and the public in our Alumni Relations office. This role provides various administrative and technical support to Alumni Relations and Parent Engagement. This position reports to the Director of Alumni Relations and Parent Engagement.

This is a full-time position, scheduled at 37.5 hours per week, with standard work hours of 8:30 a.m. to 5:00 p.m., including a one-hour unpaid lunch. Occasional evening or weekend hours may be required to support events. This is not a remote position.

The starting salary for this position is $21.50 - $23.50. Pay offers are contingent upon experience and are determined through an internal pay assessment. This is an overtime eligible position on Grade 4.

What You’ll Do

  • Act as the first point of contact for the Alumni Relations office; greet and direct walk-in visitors, manage  public-facing email inboxes, answer the main phone line, and respond to handwritten correspondence.
  • Respond to requests, feedback, and queries in the office’s Customer Relationship Management (CRM) database.
  •  Serve as a resource to ensure projects and initiatives run smoothly by anticipating needs, tracking deadlines, and helping team members stay organized and on task.  
  • Provide administrative support for Alumni Relations & Advancement events, including maintaining accurate RSVP lists; creating name tags; entering post-event attendance; and running event reports as needed. 
  • Perform accurate and timely data entry and reporting, including regularly updating our CRM and preparing and distributing engagement and budget reports.
  • Manage one or more student workers, providing clear work assignments, setting expectations, offering coaching and feedback, and approving timesheets.
  • Support collaboration among team members by coordinating and scheduling team meetings; managing department calendars; and administrating the team’s digital collaboration platforms

Minimum Qualifications

  • Two years of progressively responsible administrative experience, or any combination of experience and education that would provide the ability to excel in this role.
  • Proficiency navigating computer operating systems and using office productivity tools (e.g., word processing applications, spreadsheets, CRM databases, etc.)
