The Administrative Coordinator is the first point of contact for a wide variety of faculty, staff, students and the public in our Dean of the Faculty’s office. This role provides various administrative and technical support. This position reports to the Associate Dean of Academic Operations.

This is a full-time position, scheduled at 37.5 hours per week, with standard work hours of 8:30 a.m. to 5:00 p.m., including a one-hour unpaid lunch. Occasional evening or weekend hours may be required to support events. This is not a remote position.
The starting salary for this position is $21.50 - $23.50. Pay offers are contingent upon experience and are determined through an internal pay assessment. This is an overtime eligible position on Grade 4.

What You’ll Do
- Provide administrative support as needed on a daily and ongoing basis to the Dean of the Faculty’s office.
- Act as the first point of contact for the Dean of the Faculty’s office. Greet walk-in visitors, manage public-facing email inboxes, answer the main phone line, and respond to correspondence.
- Serve as a resource to ensure projects and initiatives run smoothly by anticipating needs, tracking deadlines, and helping team members stay organized and on task.
- Coordinate the faculty evaluation process and organizes evaluation materials.
- Oversee budgets and reimbursement requests for the Dean of the Faculty's office.
- Lead one or more student workers, providing clear work assignments, setting expectations, offering coaching and feedback, and approving timesheets.
- Communicate operational timelines and deadlines, perform project management, and administrative details necessary to meet deadlines.
- Provide administrative support to a variety of programs and academic departments.
- Manage supplies and equipment and arrange appropriate maintenance services for the repair of office equipment. Regularly check and help maintain printers and copiers.
- Assist in special projects and other related duties as assigned.
Minimum Qualifications
- Two years of progressively responsible administrative experience, or any combination of experience and education that would provide the ability to excel in this role.
- Proficiency navigating computer operating systems and using office productivity tools (e.g., word processing applications, spreadsheets, CRM databases, etc.)
